Tracking Time for Other Staff

In your fp. system you and your staff can track time to active Jobs, as well as to Tasks. There may be a scenario, in which you need to track time in your fp. system, for another member of your staff. There are a few ways in which this can be done - both to the Job or Task levels. Please review this article to learn more.

Track to the Task Level - Use the Tasks/ To Dos Full Screen View

From the main navigation bar, hover over the Tasks module and choose Tasks/ To Dos.

From the Select Staff button, pick a staff member name, and then click Select.

The Tasks/ To Dos are now those for the staff person I picked, filtered by the filters I have in place. Change the filters to see different content.

Time can be tracked to any Task in a status of In Progress. Change the status of any Task, in order to track time for it.

To create a timesheet against the In Progress Task, simply click the timer icon. This will pop up the Add Timesheet window, where you can select the date (if other than today's date), enter the number of hours, and add a description.

Click Submit when done.

We've now successfully added time to this Task for this other staff member. You can see this time reflected on the Timesheets tab of the related Job.

Repeat these steps to add more time for other staff, to other Tasks.

Track to the Job or Task Level - Use the Weekly Timesheet View

Access the weekly view from either

  1. The Timesheets tile on your Dashboard. Please note - you will not see the Weekly View option if you track time by Start/ Stop.
  2. The Weekly View option from the Timesheets module in the main navigation bar.

Begin by selecting a staff member from the drop down menu in the top left.

  1. Enter some or all of the Job number or name. Tabbing out of the field will cause the system to either complete populating it with content, or show you a list of close matching options.
  2. Select the time trackable Internal Service from the dropdown menu.
  3. Enter hours spent on this Service by day of the week. Totals will begin to add up on the far right and at the bottom row, and changes will save as you go.

If the selected staff member has an associated Task to this Job for the selected Service, and that Task is in a status of In Progress, then you will have the option to select that Task, and track time here at the Task level.

We've again successfully added time for this other staff member. You can see this time reflected on the Timesheets tab of the related Job.

Repeat these steps to add more time for other staff, to other Jobs/ Tasks.

Track to the Job Level - Use Job Costing

Track to the Job Level - Use Job Costing

Job Costing is a optional function, that is often used to bulk add time into fp. for Jobs from a previous system. It can also be used as a way to track time for other staff members. To begin, you'll need set this feature to on. From the Admin menu, choose System Set Up > System Preferences.

Choose the tab called Time, and tick the box for the Job Costing Routine. Click Submit to save this change.

Now navigate to any Job in your system. You will now see a Job Costing button in the top right.

Clicking Job Costing will bring you to a page where you can bulk add hours to this Job for any of your team members. Simply follow the numbered steps:

  1. Pick the Internal Service to which the time should go.
  2. Choose the date and (optionally) add a description.
  3. Enter hours for this Service for any of your team members.
  4. Finish adding hours for this Job, or add these hours and continue to add more hours to the other Internal Services.

We've again successfully added time for this other staff member. You can see this time reflected on the Timesheets tab of the related Job.

Repeat these steps to add more time for other staff, to other Jobs.
