Resource Allocation - Display of Actuals vs. Forecasted Time

The Resource Allocation tool can be hugely valuable when looking to assess how much work in on every staff persons plate. Staff bandwidth is measured by Tasks associated to their name or role. On this page, you have the option to view tasks based on All, Actuals or Forecasted.

Please use this article as a quick reference for what criteria make a Task appear as Actual or Forecast on the Resource Allocation page.

Accessing the Page

The link to Resource Allocation lives under the Tasks module, found on the main navigation bar.

Resource Allocation will open in a new tab on your browser. In the top of the page, you can filter the data by Office, Resources, dates, and staff roles or groups. Having start and end dates chosen is required for the page to work properly. And please note that if you make a change to any of these fields, you'll need to click the Submit button to get those changes to take effect on the page.

The grey bars on the page, are pulling information from an area in your Admin section called the Work Calendar. Here, you can set up the available hours of your Office(s), as well as Staff, including days the office is closed, and days staff are on holiday. Filtering by Actuals

If you filter this view by Actuals (represented in green and red), you will only see Tasks that are associated to Jobs and in order to appear here these Tasks also have:

  • an assignee aka some person or role in the "To" field
  • a Start Date
  • a Due Date
  • an Estimated number of hours to complete
  • are in the Task Status of Draft, Assigned on In Progress

Filtering by Forecasted

If you filter this view by Forecasted (represented in yellow and orange), you will only see Tasks that are NOT associated to Jobs - the Tasks on a Schedule that has been added to an Estimate would qualify here. To appear here these Tasks also have:

  • an assignee aka some person or role in the "To" field
  • a Start Date
  • a Due Date
  • an Estimated number of hours to complete
  • are in the Task Status of Draft, Assigned on In Progress

These tasks do NOT have an associated Job, but may be associated to an Estimate and/or Schedule.
