Editing Invoices

Invoicing is an integral piece of the agency puzzle, and fp. makes it easy to generate Invoices based on Estimated values, Actual values, or another value of your choice. Once an invoice is created, you may need to update or adjust information, before sending it off to your client.

Please review this article to learn these quick steps to edit an Invoice in your system.

Find the Invoice

First you'll need to find the Invoice in your system that needs changing. You have a few ways in which you can do this:

  • By hovering over Invoices in the main navigation bar and choosing Find Invoice.
  • By hovering over Invoices in the main navigation bar and choosing View Invoice.
  • By navigating to the associated Company or Job, and looking under the Invoices tab.

Edit the Invoice

Once you have the Invoice you need, decide where the changes are required:

  • Basic Info tab
  • Service Groups/ Services tab

Basic Info

If you need to make changes to the Basic Info section, begin by clicking Edit Details.

The fields on this page are now open for change including:

  1. Invoice Type
  2. Payment Terms
  3. Invoice Description
  4. Payment Notes
  5. Date
  6. Payment Information

Click Submit to save any changes you make here.

Service Groups/ Services

If you need to make changes to the Service Groups/ Services section, begin by clicking Edit Service Groups.

The fields on this page are now open for change including:

  1. Invoice Date
  2. Billing Percentage
  3. Descriptions of the Services/ Expenses provided.
  4. The order in which the rows display - use the up/ down arrows to move content.

You can also change the value of the Invoice:

  1. Click Estimated and the values in the Invoice boxes will change to those values.
  2. Click Actual and the values in the Invoice boxes will change to those values.
  3. Click Invoice and the values in the Invoice boxes will clear, and you can type in what you prefer.
  4. Click Remainder and the values in the Invoice boxes will change to those values.

Click Save if you make any changes on this page that you want to keep.

Send to the Client

Once you have the Invoice all edited and saved, don't forget to send it off for payment. Print the Invoice as a PDF, or use the Notify Client option to send the PDF directly from fp. to the Invoice Contact's email address.

Important to Note

With the proper permissions, the system will let you edit any Invoice, regardless of the Invoice state - Posted, Unposted, Exported, Outstanding, Paid etc. However, if you are not the bookkeeper or accountant at your agency, or you do not have a firm understanding of your accounting practices,  please be careful and thoughtful when it comes to making Invoice changes.

Please be mindful that you may need to re-sync or hold off on syncing with Quickbooks if you are using fp. Accountant and are making these kinds of changes.

You do not want to make a change that will throw off accounting system balances, or other reports.
